SharePoint - Confluence - Tips and food for thought

A few tidbits to think through and consider as you move forward with moving pages off of confluence.

Data

  • Decide what you need and what you need it for 
  • Who needs to have access?  
    • Sharing/Restrictions – making sure documents shared are accessible to the users you are sharing to, and access is restricted for things that need to be. 
      • See 'Related Articles' for Sharing Files and Folders
  • Clean Data!  
    • Know what is needed, what isn’t, and what needs to be updated. 
  • Attachments 
    • If pages have attachments you wish to keep, you need to download them.
      • Open Attachments page, click 'Download All' on bottom left under the list of documents.
  • Keep in mind requirements for Middle States and accreditation (if applicable) 
  • 'After'
    • You've moved the data to it's new location? Delete the page in confluence to help elevate duplicating efforts. 
      • Three dots on top right of confluence page. Delete is at the bottom. If you don't see this, enter a Help Desk ticket and we'll update permissions upon supervisor approval.

Who What Where

  • Division of Labor - who is doing what?  
  • Set up a system of Organization! 
    • Make sure people can find what they need and know where to save things. Make it user-friendly.  
    • Finding Things - Organizing and knowing where to find things isn’t as simple as it was in Confluence.   
      • Depts, committees, etc. will need to be very mindful of the set up and training of their team members.  
  • What kind of different types of data do you have?
    • Think through this and decide on 'where' makes sense for different pieces
