Description:
Department administrative assistants or supervisors must enter all Employee creation, changes, or departure forms.
Individuals are not able to enter their own requests for accounts or information to be created, updated, or removed.
New User Requests:
When an employee is hired, or rehired, a New User Request ensures accesses is provided to applicable systems and areas. New user requests are used to:
- Create User email account.
- Add accesses to file shared drives and security groups.
- Provide Banner accesses, if applicable.
- Add contact information to the Online Directory.
- Add to Lyris Lists for receipt of mass emails, such as the Delhi Today newsletter.
- If applicable, State issued computer and/or office equipment set up.
- Send key request to University Police, if needed.
Position Change Requests:
If an employee changes titles, departments, or supervisors, a Position Change is used to:
- Update the user account in Active Directory, reflected in the contact and organizational information in email and Microsoft Teams.
- Update accesses to file shared drives and security groups, if needed.
- Review and update Banner accesses, if needed.
- Update contact information in the Online Directory.
- Exchange or make changes to State-issued computer set up, if needed.
- Send key request to University Police, if needed.
- If applicable, update location and telephone number. Separate Office Move request not required!
Departure Requests:
When an employee is leaving or has left service at the college, CIS uses the Departure submitted by the department to ensure all accounts and accesses are disabled, as needed. Departure requests will be used to:
- Disable or moved user account to a retiree account, if applicable.
- Remove or update access to file shared drives and security groups
- Remove contact information from the Online Directory.
- If applicable, removal from Lyris Lists for receipt of mass emails, such as the Delhi Today newsletter.
Requirements:
- A key number or etching is required for UPD to process any request.
- If you’re unsure which keys are needed, contact Facilities with which room numbers or spaces the user needs access to before submitting your request. They can provide the etchings to you. Incomplete or missing information will delay processing.
Authorization & Pickup
- All key requests must be submitted by a supervisor, department head, or department administrative assistant.
- UPD will email you when your keys are ready for pickup, once you receive this email call extension x4701 to set up a time to sign for them.
